Summary of the role

The focus of the Sports Officer is primarily on sports. A Sports
Management Board has recently been introduced, which will help support the Sports Officer on items like budget decisions and the monitoring of Union expenditure on sports and all costs associated with the running of UPSU sporting activities.

Responsibilities

  1. Be responsible for all sporting affairs of the Union.
  2. Be responsible for promoting sport within the Union.
  3. Be a member of the University’s Sport Management Board
  4. Co-ordinate all student sporting events within the Union.
  5. Be responsible for keeping the Student Council aware of developments affecting sport within the Union.
  6. Represent the Union at all relevant sports bodies' meetings.
  7. Consult with the University Sports Director on the use of the University sports' facilities.
  8. Oversee the running of Sports Clubs.
  9. Advise the Trustees of the financial situation of the Sports Clubs, Athletic Union Executive Committee, and the overall sports budgets.
  10. Co-ordinate Clubs travel.
  11. Be jointly responsible with other officers for the organisation of introduction programmes.
  12. Be responsible for the organisation of any Sports Fayre.
  13. To administer the procedures for the affiliation of clubs to the Union and to monitor the adherence of clubs to their constitutions and to Union policy.
  14. To establish, monitor and control the budgetary process as applicable to clubs to include an annual review of the membership.
  15. To maintain and update the Union's club Handbook.
  16. To co-ordinate, in liaison with the Student Activities & Development Officer and the Membership Services Department Freshers Fayre.
  17. To co-ordinate arrangements, for the annual Athletic Union Ball. In both cases working with people from the AU.
  18. To ensure, along with Union Representatives, that the safety codes applicable to clubs are maintained, updated and enforced
  19. To serve as the key contact with the University's Sports Department.
  20. To ensure the effective co-ordination of the Union's transport requirements.

Meetings and Committees

University of Portsmouth-led Meetings

The UoP Student Academic & General Affairs Committee (SAGA)
  • 3 times a year
  • The Sabbatical team sit on this committee which is the principal medium through which Governors are directly able to hear the views and concerns of the students through the Students’ Union’s Sabbatical Officers.
The UoP Sports Management Group
  • Quarterly
  • As Sports Officer you will attend this meeting with UPSU, The UoP and external partners to promote sport across campus and within the local community.

 

UPSU-led Meetings

UoP Directorate
  • Bi-monthly
  • An informal meeting with The UoP Directorate Team to discuss issues affecting students at The UoP. The President will lead the Sabbatical team in all discussions and negotiations.
The UPSU Board of Trustees
  • Monthly
  • As Sports Officer you will hold the role of Trustee at The UPSU. This Board holds the ultimate responsibility for all affairs of The UPSU and you will be part of the decision making process. The President will Chair this meeting.
PSUT Board of Directors
  • Monthly
  • As Sports Officer you will attend the Portsmouth Students’ Union Trading Company Ltd (PSUT). This Board holds the ultimate responsibility for all affairs of PSUT and you will be part of the decision making process.
UPSU/UoP Steering Group
  • Bi-monthly
  • To liaise with The UoP, UPEL regarding any issues surrounding the Student Centre and the provision of services for students.
UPEL/UPSU Liaison Group
  • Monthly
  • To provide a forum to discuss Catering and Bars Services and Facilities and to discuss, liaise and agree on all issues affecting the management of the Student Centre Building.
The UPSU Finance & Staffing
  • Quarterly
  • As Sports Officer you will attend this meeting which is responsible for the management of all The UPSU finances and staffing.
The UPSU / UPEL Student Activities Meeting
  • Monthly
  • To liaise with UPEL on all student led activities.
The UPSU Union Council
  • Monthly in term time
  • The Sabbatical report into the Union Council Committee which is made up of elected student representatives.
The UPSU AGM
  • Once a year
  • Union Council and the Sabbatical Team report back to the student membership on a yearly basis.
The UPSU Sabbatical Exec
  • Weekly
  • An informal meeting in which the Sabbatical Team discuss any operational issues.
The UPSU Sports Operations Meeting
  • Fortnightly
  • An informal meeting between the Chief Executive, Sports Officer, Sports Safety Co-ordinator and The UoP Director of Sport to discuss any operational issues.
The UPSU AU Council
  • Monthly
  • The AU Committee report into the AU membership.
The UPSU AU Committee
  • Fortnightly
  • The AU Committee meet to discuss any issues affecting students within the AU.
